PARISH RECEPTIONIST I
(Minimum Part-Time, Regular Employee – Non-Exempt)
I. POSITION PURPOSE
The purpose of this position is to answer telephones, greet and refer visitors and callers to the parish, and provide designated clerical assistance.
II. MAJOR DUTIES AND RESPONSIBILITIES
A. Assures a timely and accurate receipt of telephone calls, messages and visitors to the parish. Receptionist provides proper assistance and/or referral to callers and visitors.
B. Provides general information to persons calling or visiting the parish. Receptionist utilizes other church, social service, community and/or government directories to provide accurate and helpful information to persons.
C. Receptionist may coordinate scheduling the parish facilities. The Receptionist may organize and maintain a calendar that identifies the time, date, name of organizations, as well as room scheduled to use. The Receptionist may also coordinate the use of keys for parish facilities.
D. Provides clerical assistance as requested by the supervisor. This may include calling to schedule or confirm meetings, filing, collating, copying, sorting and preparing labels.
E. Coordinates record keeping of parish collections. Maintains Parish Data System (PDS) by having accurate, up-to-date parishioner information.
F. Coordinates, prepares, copies and makes ready for distribution the weekly parish bulletin.
G. Assures that packages/mail left at the parish are forwarded to the appropriate person/place. Assures incoming and outgoing mail for the parish are handled appropriately. Receptionist distributes incoming mail and assures outgoing mail is taken to the mailbox on a daily basis. Assists in bulk mailings.
H. Assures the parish office and church facilities are properly opened in the morning and securely closed in the evening. This is accomplished by ensuring that all machines are turned off, the answering machine is on and working, windows and doors are closed and locked, and all appropriate lights and heat are turned off.
I. Provides assistance and information to parishioners requesting Mass requests and/or Mass cards.
J. Maintains a current level of knowledge and skills required to function as a receptionist. This may be accomplished through reading appropriate materials and participating in training opportunities and/or workshops as approved and as appropriate.
K. Maintains and secures the Change fund.
L. Registers new parishioners and inputs pertinent information into computer.
M. Oversees maintenance of sacramental records, parish census and registration and other parish filing systems. Updates all books of sacraments; i.e., baptism, confirmation, First Holy Communion, marriage, illness and funerals.
III. EXPECTED QUALITIES AND QUALIFICATIONS
- Baptized member of a Catholic parish faith community.
- Commitment to the Mission of the parish.
- Demonstrated successful work experience in an office environment.
- Ability to type 50 wpm.
- Experience with Microsoft Office/Publisher.
- Knowledge of information technology.
- Ability to learn, operate, and maintain parish telephone system.
- Excellent verbal and written communication skills.
- Ability to communicate efficiently and effectively with a variety of people.
- Demonstrated ability to recognize and honor diversity within the parish community.
- Ability to honor and maintain confidentiality.
- Bilingual – English/Spanish preferred.
